Service Fees
The total service fee is displayed in the quotation, order confirmation or checkout page before the customer is bound to pay. Translation services use the published US dollar rate card referred to below unless a different currency or amount is expressly stated in the accepted quotation, order confirmation or checkout page. Medication assessments and medication-import support services may be billed in US dollars at the price displayed on the applicable service or checkout page before payment. Fees vary according to language pair, source volume, document condition, complexity, urgency, formatting, certification, interpreter duration, travel and third-party requirements. Where a service requires an individual quotation and a fixed price cannot reasonably be stated in advance, MedicTranslate provides the exact price electronically without delay upon request and before order confirmation.
Published Rates
Standard published rates for translation services, including per-language prices, priority-delivery surcharges and services quoted individually, are displayed on the Pricing & Estimates page at https://www.medictranslate.com/pricing/ and on the relevant service pages. The rates displayed at the time of order apply. Certification, notarisation and other add-on services are always itemised in the quotation and are not included in the per-page translation rate unless expressly stated.
Translation Quantity and Charging Basis
Non-medical translation is charged per source page. Medical translation is charged per started 200 source-language words: 1–200 words is one chargeable block, 201–400 words is two blocks, and so on. Charges are based on the source document. Complex formatting, tables, handwritten content, poor-quality scans and specialist review may require an individual quotation, which is stated before order confirmation.
Charges in Addition to Service Fees
Any additional charge set by MedicTranslate, including interpreter travel, waiting time or overtime, courier or postage, certification, notarisation, apostille handling or other administrative charges, is displayed as a specific amount or a clear calculation basis before order confirmation. No undisclosed MedicTranslate-set surcharge will be added after confirmation. Separate charges imposed directly by a bank, card issuer, foreign-exchange provider, telecommunications provider, courier, clinic, government authority or other third party are outside MedicTranslate’s control and may also be payable by the customer. Applicable consumption tax or other taxes are included or identified as required by law.
Payment Methods
Credit or debit card through Stripe and any other method expressly stated in the quotation or invoice, including bank transfer where offered. MedicTranslate does not ordinarily store full payment-card numbers or card security codes.
Payment Timing
Where payment is taken by card at checkout, payment is due when the customer submits the confirmed order. Where bank transfer, invoice payment or a deposit is offered, the applicable due date and whether payment is required before work starts or before delivery are stated in the quotation, invoice or order confirmation. Work may be suspended and delivery withheld while an amount is overdue.
Contract Formation
A contract is formed when MedicTranslate confirms acceptance, confirms a booking, commences work following the customer’s instruction, or receives payment against an accepted quotation, whichever occurs first. For an online checkout order, the customer is shown the applicable service or quantity, total price, payment terms, delivery timing and cancellation or refund conditions before submitting the order.
Service Delivery Timing
The estimated delivery or service date is shown before order confirmation or in the accepted quotation. For translation services, standard delivery is normally within 72 hours and priority delivery is normally within 48 hours, subject to availability. Turnaround commences only after MedicTranslate has received the complete, legible source documents, confirmed the scope of work, and received any required payment. 24-hour and same-day delivery is available only by individual quotation and is subject to confirmation. Delivery dates are estimates unless expressly guaranteed in writing. Where an application to Japanese authorities is involved, processing time is determined solely by the relevant authority and is not guaranteed.
Delivery Method
Digital deliverables are normally supplied through the designated customer portal, secure link or email. Interpreting and appointment-coordination services are supplied at the confirmed time and by the confirmed attendance or connection method.
Application / Order Period
Orders may be placed while the service is displayed as available. Quotations expire on the date stated in the quotation or, if no expiry is stated, 14 days after issue.
Indicative Estimates and Price Simulations
Figures produced by any price simulator, estimator or calculator on MedicTranslate websites, including currency conversions, are indicative only and do not constitute a quotation, an offer or a binding price. Currency conversions use daily reference rates and may differ from the rate applied by the customer’s card issuer or bank. The binding price for any order is the price stated in the accepted quotation, order confirmation or checkout page.
Cancellations and Rescheduling
Cancellation and rescheduling conditions depend on the service, notice period, work already completed and professional or third-party commitments. Translation work may be charged for work already performed and non-recoverable costs. For interpreter, appointment or other booked services, any MedicTranslate-set cancellation fee, minimum charge or rescheduling fee is disclosed before order confirmation as a specific amount or a clear calculation basis, together with the applicable notice period. If no such fee is disclosed before confirmation, no undisclosed MedicTranslate-set cancellation fee will be charged. Third-party cancellation charges may still apply where they were disclosed as part of the confirmed order.
Returns and Refunds
Because services and digital deliverables are customised, physical returns do not apply. The applicable cancellation and refund conditions are shown before order confirmation and are also governed by the accepted quotation and the Terms of Use. Urgent, completed, certified, notarised or customised services may be non-refundable to the extent disclosed before confirmation, except where a refund or other remedy is required by law. Nothing excludes any mandatory consumer right or remedy.
Corrections
If a deliverable materially fails to conform to the accepted instructions because of MedicTranslate’s error, the affected portion will be corrected within a reasonable period without additional professional fee, subject to the Terms of Use. Correction requests should ordinarily be submitted within 7 days after delivery.
Interpreter Overtime and Waiting Time
Interpreter bookings are charged for the confirmed minimum duration. Additional waiting time, overtime, travel or expenses may be charged at the rate stated before confirmation. Continued attendance beyond the booked period is subject to interpreter availability.
Appointment Coordination
An appointment is not confirmed until written confirmation is issued by MedicTranslate or the healthcare provider. The healthcare provider may accept, refuse, reschedule or impose its own requirements and fees. MedicTranslate does not guarantee access to treatment or a particular clinical outcome.
Medication / Customs Support
Medication assessments and medication/customs support are preliminary and informational. MedicTranslate does not guarantee approval, importation, customs clearance, entry, processing time or acceptance by an authority, airline, courier, clinic or pharmacy. Customers must verify current official requirements before travelling or submitting an application.
Digital File Handling
Unless a different period is authorised or retention is required for legal, security, backup, dispute or continuing-service purposes, uploaded medical documents and completed translation outputs are removed from the active customer-service environment within 7 days after delivery or project closure.
Personal Information
Personal information is handled in accordance with the Privacy Policy.
Terms Applicable to Orders
The Terms of Use, accepted quotation, order confirmation and any service-specific conditions apply to each order. If they conflict, the order of precedence stated in the Terms of Use applies.
Electronic Communications
Customers consent to receiving quotations, order confirmations, invoices, delivery notices and other contractual communications electronically, subject to applicable law.
Transitional Provision — Pricing Effective 10 August 2026
The revised published translation rate card effective from 10 August 2026 applies to orders confirmed on or after that date. Quotations issued before 10 August 2026 are honoured at their stated prices until their stated expiry date or, if no expiry is stated, for 14 days after issue, in accordance with the Application / Order Period above. Version 3.3 updates this disclosure to reflect the medication assessment services currently offered and does not retrospectively alter the terms of previously accepted quotations or orders.
