Apostille and document certification support in Japan.
MedicTranslate coordinates certified translation, notarisation and apostille or legalisation workflows for Japanese documents, with local support across Kobe, Osaka, Nara and the wider Kansai region.

Apostille, authentication or notarisation?
The required path depends on the document, where it was issued and the destination. We can explain the available administrative service options, while the receiving organisation and competent authorities determine what will be accepted.
Apostille
Usually relevant when a Japanese public document is being submitted in a country or region participating in the Hague Apostille Convention.
Authentication & legalisation
Some destinations or document uses require a different certification route, potentially including authentication and embassy or consular legalisation.
Notary first
Private documents may require notarial certification before further authentication. Osaka notary offices provide a one-stop certification process for eligible cases, including apostille handling for Hague Convention destinations.

Translation, certification and document logistics in one place.
If your receiving organisation asks for translation, notarisation, an apostille or a combination of steps, MedicTranslate can coordinate the agreed administrative workflow and document return under one itemised quotation.
Personal, academic and business documents.
Eligibility is determined after document review. Some documents can be apostilled directly; others require notarisation or another form of certification first.
Five steps from document review to return.
The enquiry flow mirrors MedicTranslate’s current document services: brief enquiry first, secure upload next, then document review and a binding quotation before payment.
Local coordination across Osaka, Kobe, Nara and Kansai.
MedicTranslate is based in Kobe and can coordinate apostille-related document services for clients across the Kansai region. You do not necessarily need to personally navigate each Japanese office involved in the process.
Important: Osaka notary offices offer a one-stop certification route for eligible private-document cases. A client in Kobe, Nara or elsewhere in Kansai may therefore have part of the process coordinated through Osaka, depending on the document and destination requirements.

Questions about apostilles in Japan
What is an apostille?
An apostille is a form of certification used under the Hague Apostille Convention to simplify the use of qualifying public documents between participating countries and regions. In Japan, the Ministry of Foreign Affairs handles apostille certification for eligible public documents, while eligible private-document cases may use the applicable notarial certification route. MedicTranslate provides translation and administrative coordination support.
Do I need an apostille or embassy legalisation?
It depends on the destination and the receiving organisation’s requirements. Apostilles generally relate to destinations participating in the Hague Apostille Convention. Other cases may use authentication followed by embassy or consular legalisation. Always confirm the receiving authority’s document requirements before ordering.
Does a private document need to be notarised first?
Private documents may require notarial certification before further authentication. The Japan Federation of Notary Associations states that Osaka notary offices can provide a one-stop certification process for eligible cases, including apostille handling for Hague Convention destinations.
Can MedicTranslate issue the apostille itself?
No. Apostilles and official authentications are issued by the relevant Japanese authorities. MedicTranslate can coordinate the supporting translation, notarisation, application logistics and document return within the scope confirmed in your quotation.
Can you help if I am in Kobe or Nara rather than Osaka?
Yes. We coordinate services for clients in Kobe, Osaka, Nara and the wider Kansai region. The official processing route can still involve Osaka or another relevant office depending on your document and the certification required.
Can a foreign-issued document be apostilled in Japan?
As a general rule, an apostille is obtained from the competent authority in the jurisdiction that issued the public document. If your document was issued outside Japan, tell us the issuing country and intended use. We can confirm whether our translation or coordination services are relevant, but the foreign apostille itself may need to be obtained in the issuing jurisdiction.
How long does the process take?
Timing depends on the document type, translation requirements, notary availability, official processing and delivery. MedicTranslate’s current notary service advises allowing approximately 7–10 days for notary scheduling and notarisation alone; apostille or legalisation cases may require a different timeframe. Your quotation states the expected workflow, while third-party and authority processing times remain outside MedicTranslate’s control.
Should I email my document to MedicTranslate?
For a first enquiry, tell us the document type and what you need without including unnecessary sensitive information. Where document review is required, MedicTranslate provides a verified secure upload route. Ordinary email can carry additional privacy and security risks.
What should I send for a quote?
Start with the document type, destination country, the receiving organisation’s stated requirement, translation language if needed, your location and deadline. For sensitive or identity documents, use the verified secure upload route MedicTranslate provides rather than ordinary email.
Tell us where the document is going. We will help map the next steps.
Tell us the document type, destination country, receiving organisation’s requirement and deadline. We will provide the secure upload route, review the documents and confirm the itemised scope and binding quotation before payment.
